Fixed Asset Tags
GAAP-friendly tagging for capitalized assets. Audit-ready serial numbering.
Fixed-asset tagging is an accounting exercise: every capitalized item gets a unique serial that ties to a depreciation schedule and an audit record. We produce GAAP-friendly Stronger or Strongest-tier tags with sequential serials, multi-segment numbering (department-facility-asset), and Strongest construction for high-value items above the audit threshold.

Fixed asset tag numbering format
The numbering format matters as much as the material. A fixed asset tag number has to match a record in your fixed asset register, stay unique for the life of the asset, and still make sense after you change software. A multi-segment format handles all three, and it survives system migrations.
We print whichever format you choose. Numbering and variable data are free, and there is no setup fee.
- Simple sequence: 000001, 000002, 000003 and so on
- Prefix and sequence: a site or asset-class code followed by the number
- Multi-segment: facility code, department code, then the sequential asset number
- Your own list: the exact numbers from your register, sent as a CSV or Excel file
Fixed asset labels that pass the audit
A federal agency had to re-tag 12,000 capitalized assets across three buildings before a property-accountability audit. Its existing tags were inconsistent from site to site and were not tamper-evident.
We printed Stronger-tier tamper-evident tags with a facility code, department code and sequential asset number, all in a single production run with synchronized numbering. The audit passed on the first attempt, and the asset discrepancy rate dropped from 4.2 percent to 0.3 percent.
Fixed asset tag stickers by asset type
One register can cover very different assets, and one tag construction rarely fits all of them. Match the tier to the surface and the environment:
- Office furniture and other smooth indoor surfaces: Strong or Stronger tier. See asset tags for furniture.
- Laptops, monitors and IT equipment: Stronger tier, or Strongest for Chromebooks and textured plastic
- Vehicles, machinery and outdoor equipment: Strongest tier, rated 5+ years outdoors and made for powdercoat
- High-theft or closely audited items: tamper-evident material, available in every tier
Tamper-evident fixed asset labels
A tag that can be peeled off and put back proves nothing. One audit team in our Hall of Shame put cheap VOID stickers on 12,000 federal assets. Within six months, several thousand had been removed cleanly and reapplied because the destruct chemistry was too weak.
Our Stronger-tier tamper-evident construction replaced them. Removal now leaves an irreversible VOID pattern on both the asset and the recovered sticker, so the audit trail stays intact.
Scanning fixed asset tags during the count
Print the human-readable number with a barcode or a QR code so every tag can be scanned instead of typed. Code 128 is the usual barcode for asset IDs. A QR code lets your team run the count with smartphones and no dedicated scanning hardware.
The spec builder picks the tier for each asset class in four questions, and samples of all three tiers let you test on the real surfaces before the full order.

FAQ: Fixed asset tags
Can the numbering match our existing fixed-asset register?
Yes. Send the asset register and we print exactly the serials, prefixes, and check digits you need. No setup fee.
What should a fixed asset tag number look like?
Keep it unique for the life of the asset and easy to trace. A multi-segment format such as facility code, department code and a sequential asset number works well, and it holds up through software migrations.
Can you print fixed asset labels for several sites in one order?
Yes. We print every site's tags in a single production run with synchronized numbering, so no number is repeated between locations.
Barcode or QR code on fixed asset tags?
Use a barcode, usually Code 128, if your team audits with scanners. Use a QR code if they audit with phones. Many tags carry the human-readable number with either one.
