What a QR code asset tag does

A QR code asset tag turns every phone into a scanner. Point the camera at the tag and it opens the asset record, service log, or manual the code links to. A small program needs no dedicated scanner at all.

We print the human-readable asset number next to the code, so the asset can still be looked up by hand if a scan fails. Your logo and company name usually share the tag. QR codes carry error correction, selectable at L, M, Q, or H, so a partly damaged code can still read.

A QR code packs far more data than a 1D barcode in the same footprint, so one code can hold an asset URL and a serial number together. The labels work with any QR-based asset platform, including EZOfficeInventory, Snipe-IT, ServiceNow, SAP, or a system you built yourself.

Size the code for the scan distance

The most common QR failure is a code too small for the camera to focus on. Our rules of thumb:

  • 0.5 inch: readable at about 6 inches. The smallest size we recommend.
  • 0.75 inch: readable at about 1 foot. The standard for asset tracking.
  • 1 inch: readable at about 2 feet. Good for self-service service logs.
  • 1.5 inch and up: readable at 3 feet or more. Good for warehouse rack and pallet tags.

Weatherproof QR code labels for equipment

A QR code only works while its cells are intact. On Stronger and Strongest tags the print sits under a clear overlaminate that protects it from UV, scuffing, water, and chemical splash. Stronger is laminated vinyl rated 2 to 5 years outdoors. Strongest is 12-mil plastic with a 6-mil overlaminate and a permanent adhesive, rated 5+ years outdoors, and it bonds to powdercoat and textured surfaces. That makes it the right QR code sticker for equipment that lives outside or on a shop floor.

Finish matters too. One medical center in our Hall of Shame used a 0.4-inch QR code on a glossy surface that reflected light back at the camera. A 0.75-inch code on matte Stronger-tier vinyl took their scan success rate from 40 percent to 100 percent.

For smooth indoor surfaces like office equipment, Strong-tier polyester carries a single-color QR code.

Static or dynamic QR codes

A static QR code encodes a fixed URL or string. It keeps working as long as the destination exists and does not depend on an outside service. A dynamic QR code encodes a short redirect URL, so you can repoint it later without reprinting. We print both. For mission-critical assets, static is the safer choice.

Each tag can carry its own URL or serial number from your spreadsheet, or a sequential number from any starting point. One national manufacturer told us their QR tags from 2019 still scan after two platform migrations. QR layouts and next steps

The tag designer has three QR layouts: a full-color field with company text, the QR code, and a serial line; a white layout with the QR on the left, your logo or text on the right, and the number below; and a blank layout you build from scratch. Every layout can be recolored.

We can also embed your logo in the center of the code. The QR standard tolerates up to 30 percent of the code being obscured, so a logo placed within that tolerance does not break scanning.

Can the QR include the asset number on the visible label?

Yes. We typically print the human-readable asset number, your logo, and the QR code together. Asset numbers are sequential, variable, or your own list.

Static or dynamic QR codes?

Static QR codes are permanent once printed. Dynamic QR codes go through a redirect URL so you can repoint them later without reprinting. We support both. For mission-critical assets, static is the safer choice.

Are your QR code labels weatherproof?

Stronger and Strongest labels are. The code is printed under a clear overlaminate that resists UV, water, and scuffing. Stronger is rated 2 to 5 years outdoors and Strongest 5+ years.

What size QR code label do I need?

0.75 inch is the standard for asset tracking and reads from about a foot away. Go to 1 inch or larger when people scan from farther back. We do not recommend going below 0.5 inch.

Can every label have a different QR code?

Yes. Upload a spreadsheet of URLs or serial numbers with your order, or give us a starting number for a sequential run. Each tag gets its own code with the matching number printed beside it.
