Why furniture tags belong in your asset program

Furniture is often counted in the same fixed asset audit as computers and equipment. Schools, for example, track desks, chairs and lab tables on an annual audit cycle. Without a tag, one desk looks exactly like every other desk on the floor.

A numbered tag ties each piece to its record in your system. When furniture moves between offices, a quick scan updates where it is, and at audit time the count is a scan per item instead of a guess.

Choosing furniture labels by surface

The surface decides the tier more than the type of furniture does. The Strong tier has no clear overlaminate, so keep it on pieces that do not see harsh treatment. Stronger and Strongest tiers seal the print under a clear layer that stops it from being scratched.

  • Wood, laminate and smooth painted surfaces: the Stronger tier, which is what the spec builder recommends for wood. Smooth indoor pieces that see little handling can use the Strong tier, 2-mil polyester with a permanent acrylic adhesive and one-color print, the tag in the photo above.
  • Smooth surfaces where you want your logo or expect frequent wiping: the Stronger tier, 5-mil vinyl with full-color print under a 3-mil clear overlaminate.
  • Powdercoated steel, textured plastic and outdoor furniture: the Strongest tier, 12-mil plastic with a 3.5-mil permanent adhesive made for low-surface-energy finishes.

Office furniture property labels with your name and logo

Office furniture property labels usually carry a Property Of line, the organization name, a serial number and a barcode. On the Stronger and Strongest tiers you can add your logo in full color at no charge. Custom text is free, so add a department, a building or a return contact if it helps.

Where to put asset tags on furniture

Place the tag where it can be scanned without moving the piece, and away from the surfaces people sit on, lean on or slide things across. The edge of a desk or table top, like the one in the photo above, is a common spot.

Clean and dry the surface before you apply the tag. Every sample pack includes an instruction card for surface prep.

Routine cleaning is not a threat to a laminated tag. The Stronger and Strongest overlaminate is rated against isopropyl alcohol, ethanol and standard quaternary-ammonium disinfectants, so wiping down desks and chairs will not lift the print.

Numbering furniture tags across buildings

For furniture spread across several sites, build the site into the number. A prefix for each building or campus, followed by a sequential number, keeps every location's inventory separate while staying unique across the organization. Sequential numbering, prefixes and variable data from your spreadsheet are all free.

Furniture labels for offices, schools and government

Offices usually tag furniture as part of a wider fixed asset program, with the same number format used on computers and equipment. Keep the format consistent so one scanner or one phone app covers everything.

Schools track desks, chairs and lab tables on an annual audit cycle, often with a prefix for each school site. Government agencies tend to segment the number by department or facility code. In both cases, the Stronger tier suits smooth surfaces where a tag may eventually need to come off, and the Strongest tier suits textured surfaces where it must stay.

Removable or permanent furniture tags

Decide up front whether a tag will ever need to come off. Stronger-tier tags can be removed from hard surfaces without leaving permanent residue, which suits leased furniture or pieces you plan to sell. Strongest-tier tags are designed to stay, and removing one is very difficult and damages the surface.

If you need to know when someone has peeled a tag, choose tamper-evident material, available in every tier. VOID-residue versions leave a VOID pattern behind, and destructible versions break into pieces.

What size asset tag works on furniture?

Any size is available with no die charge. Common asset tag sizes include 0.75 x 1.5 inches and 1 x 2 inches, which leave room for a name, a number and a barcode.

Which tier should I use on metal office furniture?

If the finish is powdercoat, use the Strongest tier. Its 3.5-mil permanent adhesive is made for low-surface-energy finishes like powdercoat. Smooth painted surfaces can use the Stronger tier.

Will furniture tags damage the finish?
