Gym equipment labels that hold through sweat and wipe-downs

Every piece of gym equipment gets touched, sweated on and wiped down many times a day. The cleaner comes out of a spray bottle or a wipe, and it goes over the console, the handles and the frame, tag included. A label with nothing over its print loses that print to the routine long before the machine wears out.

On our Stronger and Strongest tiers the print sits under a clear overlaminate, not on top of it. That overlaminate is rated against isopropyl alcohol, ethanol and quaternary-ammonium disinfectants, and the tags are waterproof under standard industrial washdown. Cleaning programs differ, so order samples, wipe them with the cleaner your team uses, and see for yourself before you order.

Which tier for treadmills, racks and benches

Gym equipment mixes surfaces. Treadmill and bike consoles are usually smooth plastic or painted metal. Racks, benches and machine frames are often powdercoated steel. Covers and shrouds can be textured plastic. Fitness equipment asset tags have to match the surface they go on.

The Stronger tier is 5-mil vinyl under a 3-mil clear overlaminate, printed in full color, so your logo comes free on every tag. It bonds to smooth surfaces and can be removed from hard surfaces without leaving permanent residue, which helps when a machine is replaced or moved to another location.

The Strongest tier is 12-mil plastic with a 3.5-mil permanent adhesive made for low-surface-energy surfaces like powdercoat, polyethylene and polypropylene, sealed under a 6-mil overlaminate. Use it on powdercoated frames, textured plastic and anything that takes knocks from plates and bars. It is built to stay, so it will not come off cleanly. Not sure which you need? Numbering every machine across several locations

Once you run more than one gym, the numbers matter as much as the tags. Two treadmills at two sites should never share an asset number, and a technician should be able to tell from the tag which location a machine belongs to.

Sequential numbering is free on every tier. A common pattern is a short prefix per location followed by a sequential number. Another is a multi-segment number that encodes location, equipment type and sequence. Send us your list as a spreadsheet and we print exactly those numbers, or give us the starting number for each location and we run the ranges for you. Variable data costs nothing extra.

QR tags that open a service record

A QR code asset label turns any phone into a scanner. Point the code at the machine's service record, its maintenance log or its manual, and the person standing in front of a broken treadmill can see its history and report the fault on the spot. We print the asset number in plain text next to the code, so the tag still works when nobody has a phone handy.

Static QR codes are permanent once printed. Dynamic QR codes go through a redirect, so you can repoint them later without reprinting. For a code that reads from about a foot away, 0.75 inch is the standard size. We do not sell software, but our tags work with the asset tracking software you already use, or with a shared spreadsheet.

Small items, front desk gear and theft

Not everything in a gym is bolted to the floor. Dumbbells, kettlebells, cable attachments, speakers, tablets and front desk computers move around, and some of them walk out the door. Small tags fit the narrow flat spots on small items. We die-cut any size and shape with no die charge and no setup fee, down to 0.25 inch on the Strongest tier.

For gear that should never leave, a tamper-evident label shows when someone has tried to peel it. VOID-residue labels leave a pattern on the item and on the label, and destructible labels break apart so they cannot be reapplied. To mark ownership in plain sight, property tags carry your logo and the asset number together.

From a sample pack to every location

Start with a sample pack. We send all three tiers in several sizes with an instruction card for surface prep, and samples ship within one business day. Put them on a console, a rack upright and a bench frame, wipe them down with the rest of the floor every day, and scan them with the phones your staff carry.

Best-practice install pattern

  • 01Put the tag where it scans without moving the machine: the side of the console on cardio equipment, the upright or the frame on racks and benches.
  • 02Keep tags off handles, grips, seats and pads, where hands and bodies wear them down.
  • 03Clean the spot first. Wipe off sweat residue and cleaner film, and let the surface dry before the tag goes on.
  • 04Give each location its own prefix so no two machines in the whole company share an asset number.

FAQ for gyms + fitness centers

Will sweat and disinfectant wipes lift the tag?

Not on the Stronger and Strongest tiers. The print sits under a clear overlaminate rated against isopropyl alcohol, ethanol and quaternary-ammonium disinfectants, and the tags are waterproof under standard industrial washdown. Test samples with your own cleaner to be sure.

Will the tags stick to powdercoated racks?

Yes, on the Strongest tier. Its 3.5-mil permanent adhesive is made for low-surface-energy surfaces like powdercoat. Clean the surface first for the best bond. The Stronger tier is made for smooth surfaces.

Can each gym have its own asset numbers?

Yes. Numbering is free. We print a prefix per location with a sequential number, a multi-segment number, or your own list from a spreadsheet.

Can the QR code open our maintenance records?
